The Workforce Development (WFD) team develops innovative programs that move individuals along the spectrum of adult education through a pathway of digital skills development for job seekers and small business owners.

In addition, the programs provide vocational training, soft skills development, and job placement for career advancement. Through our systems change initiatives we incorporate diversity, equity, and inclusion principles to improve hiring and training practices for stakeholders. The department implements programs funded through government grants, foundation grants, and corporate grants. Between 2018-2021, the Workforce Development team has reached over 3,300 individuals.

UnidosUS is seeking an Administrative Assistant to support the WFD team. The Administrative Assistant will manage various tasks, partnerships, and deliverables associated with different projects. This is a professional support position that must handle multiple projects simultaneously and manage fast-paced schedules with professionalism, maturity, poise, and confidence. The position reports to the Senior Director of Adult Education and Workforce Development. The Administrative Assistant will be expected to participate in all WFD team activities and events and support institutional goals and objectives. The position will be hybrid and based in Washington, DC.

Location: Washington, D.C.                                                                      

Salary: $43,781-$49,032

Essential Functions

  • Provide timely and professional support to the team, including drafting/editing standard documents (letters, fact sheets, flyers, general web copy, meeting minutes, and reports); scheduling meetings; maintaining/coordinating calendars and the conference call schedule; photocopying, faxing, shipping, and providing general office and supplies management.
  • Support the team on various projects and assignments, such as processing travel and expense reports, payment requests, communication of organization policy and procedures, supplying WFD promotional materials, and collating/stocking regional office information packets.
  • Provide logistics related to meetings, training, and event planning as needed.
  • Coordinate travel and lodging for team activities.
  • Maintain an understanding of UnidosUS and its Affiliates, including relevant program initiatives, operational structure, history, and leadership.
  • Represent UnidosUS at WFD events, career pathways conferences, meetings, and coalitions.
  • Collaborate with internal teams on new projects and initiatives.
  • Share responsibility in performing preliminary research and drafting WFD materials, such as evaluations, case studies, best practices, research documents, tools, white papers, newsletters, and curricula.
  • Other duties as assigned.

Qualifications and Requirements

  • Bachelor’s degree from an accredited college or university or one (1) – two (2) years of experience as an Administrative Assistant.
  • Strong operations, meeting, and event planning experience.
  • Strong attention to detail and a structured approach to managing workload.
  • Ability to perform for a multi-person office and manage multiple tasks and goals, prioritize assignments, and problem-solving.
  • Ability to create systems, establish protocols, and recommend efficiencies for higher productivity.
  • Ability to summarize market data from weekly reports to interpret content more easily and quickly, reports, trends, etc.
  • Strong written and oral communication skills and professional attitude in representing UnidosUS and its partners to various audiences.
  • Ability to manage multiple tasks, prioritize assignments, and meet deadlines.
  • Proficient in Microsoft Office Suite.
  • Ability to work well independently and as part of a team.
  • Ability to travel for UnidosUS and Workforce team events.
  • Bilingual (English/Spanish) is strongly preferred.
