Benefits & HRIS Manager

The Benefits & HRIS Manager will serve as a senior subject matter expert and a key liaison to UnidosUS staff, vendors, and customers for all benefits, HRIS-related matters.

The Benefits & HRIS Manager is responsible for providing professional and confidential HR systems administration, applications support, compliance and data management to ensure effective and efficient support of our core HR processes. The information that this position will have access to is strictly confidential. Success in this role requires a high level of initiative, organization, close attention to detail, strategic thinking, and strong interpersonal skills. This position reports to the Director of Human Resources and will be hybrid, based out of Washington, DC.

Essential Functions

Benefit Management

  • Manage the day-to-day operations of all UnidosUS group benefit programs, providing senior-level analytical and technical support in the delivery of these programs and systems.
  • Manage benefits administration including open enrollment, benefits offboarding, invoicing and reporting, auditing, and related regulatory and compliance efforts.
  • Implement appealing rewards and benefits programs based on staff needs and industry best practices.
  • Partner with our broker to ensure compliance and UnidosUS plan documents are up to date, ensuring documents are accessible to staff in Workforce Now.
  • Ensure exemplary vendor performance through regular status meetings, performance reviews, and audits.
  • Identify trends and cost savings opportunities, as well as opportunities to improve the health outcomes of UnidosUS employees.
  • Provide benefits counsel to staff throughout the organization; respond to employees and/or former employee inquiries, providing needed guidance.
  • Manage all leaves of absence including FMLA/DC PFL, non-FMLA leave, Military, Worker’s Compensation, and personal leaves, and ensures compliance with federal and local regulations.
  • Oversee communication development and review for plan changes and ongoing education around plans and benefits to employees.
  • Manage and document administrative procedures for assigned benefit processes.
  • Facilitate transfer of data to external contacts for services, premiums, and plan administration, such as census reports, file feed transfers, etc.
  • Survey employee satisfaction with benefits plans and incentives, providing reports and feedback to supervisor and DVP of Human Resources, offering recommendations based on survey data.
  • Champion health and wellness activities throughout the year for UnidosUS employees to aid in reducing high claims.
  • Ensure compliance with governmental regulations related to benefit programs and labor law, including ERISA, FSLA, and HIPPA.

HRIS Management and General

  • Manage HRIS system and maintain employee data and information, including implementing quality control procedures to maintain accuracy and ensure valid HR reporting and data integrity.
  • Manage employee life event changes, salary increases, and leave with payroll and in HRIS, working closely with the HR Specialist on review and timely processing of personnel changes.
  • Maintain ongoing communication with the Payroll Manager regarding all matters affecting payroll.
  • Work within and continually improve the established routines of the team regarding system enhancements, testing, and auditing.
  • Make recommendations of enhancements or service changes based on system upgrades, new modules, and return on investment.
  • Serve as the point of contact and lead on major HRIS-related projects within Workforce Now.
  • Partner with field offices to interpret labor laws and applicable U.S. government regulations to ensure compliance with HR policies.
  • Apply advanced technical knowledge and a customer-friendly approach to solve a range of technical and process issues.
  • Manage responses to government or external requests for employee information such as employment verifications, EEO-1 annual filing, California Pay Data reporting, 1095-C review, and distribution, etc.
  • Prepare and evaluate reports, decisions, and results of component initiatives concerning established HR plan goals.
  • Support enhancing employee development by making recommendations of best practices and trends to offer best-in-class incentives to our employees.
  • Ensure Workforce Now is routinely updated with applicable information and forms.
  • Recommend new approaches, policies, and procedures to effect continual improvements in the efficiency of components and services performed.
  • Ensure compliance with all federal, state, and local employment laws.

Requirements

Education & Experience

  • Bachelor’s degree in any substantive field is acceptable, preferably in human resources, business administration, or a closely related discipline or equivalent combination of education, training, and experience.
  • Six (6) to eight (8) years of human resources experience with basic knowledge of HR laws and regulations, systems administration, systems support, data management, and analysis in HR preferred.
  • Experience managing HRIS required, ADP Workforce Now preferred.
  • Understanding of human resource functions, such as performance management, employee relations, compensation management, and recruiting.
  • PHR, SPHR, SHRM-CP, or SHRM-SCP is a plus.
